Meeting Rooms That Work on the First Try

Everyone has sat in the conference room where the first ten minutes go to finding the right input, muting the echo and asking the remote side if they can hear. That room cost the company money every time it was used.

AVTech Specialists designs and installs conference rooms, huddle spaces, boardrooms and training rooms for businesses across South Bend, Mishawaka, Granger, Elkhart and Southwest Michigan. The display, camera, microphones, speakers and control are chosen to work together, and the room runs on a network we understand, because we probably built it.

What we install

Displays and projection

Commercial displays sized for the room and the viewing distance, dual displays for content plus faces, and projection where a boardroom calls for it.

Video conferencing cameras

Auto-framing cameras that follow the speaker, wide-angle units for small huddle rooms, and PTZ cameras for large training rooms and boardrooms.

Microphones and speakers

Ceiling array mics that pick up the whole table without a puck in the middle, tabletop mics where they make sense, and speakers tuned so the remote side sounds like they're in the room.

Platform-ready rooms

Rooms built for Microsoft Teams, Zoom and Google Meet, including native Teams Rooms and Zoom Rooms systems where the business lives on one platform.

One-touch control

A touch panel or a single button that turns the room on, sets the input and joins the meeting. No remote drawer.

Wireless presentation

Walk in with a laptop, phone or tablet and put it on the screen without a cable. Secure, with guest access that doesn't expose the network.

Scheduling panels

Room availability displayed at the door, synced with Outlook or Google Calendar, so the 2 o'clock doesn't get bumped by the 1:30 that ran over.

Acoustic treatment

Panels and treatment for rooms with hard surfaces where the echo makes calls unusable.

Training rooms and all-hands spaces

Larger systems with multiple displays, distributed audio, recording and streaming for companies that train staff or address the whole team.

Why a designed room beats a TV and a webcam

The remote side can actually hear

Most conference room complaints are audio. A proper mic and speaker design fixes the problem a USB speakerphone can't.

Everyone knows how to run it

When the room works the same way every time and starts with one touch, nobody needs the IT person to join a call.

Built on a reliable network

Video calls expose every weakness in a network. We design the room on a wired, prioritized connection so the call doesn't stutter because someone is downloading in the next office.

Right-sized for the room

A 12-person boardroom and a 3-person huddle room have different needs. We size the display, camera and audio to the space rather than selling the same package to everyone.

Clean, finished installs

Cabling in the walls, equipment in a credenza or rack, cable management that holds up. The room looks like it was built that way.

Our process

  1. Room assessment

We look at the space, the table, the lighting, the surfaces and how the team actually meets. We ask which platforms you use.

  2. Design and scope

Equipment list, drawing, control approach and a written quote.

  3. Installation

Cabling, mounting, rack or credenza build, configuration and platform setup. Scheduled around your calendar.

  4. Testing and training

Test calls with real participants on the real platform, then a walkthrough for your staff.

  5. Support

Service agreements and remote support for businesses that want a number to call when a room acts up before the 9 a.m. meeting.

Recent conference room projects

Recent work includes boardrooms and huddle rooms for professional offices, training rooms with recording and streaming, and multi-room standardization for companies that want every space to work the same way. Ask us for references.

Conference room questions, answered

Which platform do you recommend?

Whichever one your company already uses. We build rooms for Teams, Zoom and Meet, and for companies that use several, we design rooms that handle all of them.

Can you fix our existing room?

Often, yes. Many rooms just need proper audio, a better camera or control that staff can use. We'll tell you what to keep.

What does a huddle room cost compared to a boardroom?

A small huddle room is a fraction of a full boardroom. We scope to the space and the use, and we'll show you where the money goes.

Can we present wirelessly without IT help?

Yes. Secure wireless presentation that works with laptops, phones and tablets, with guest access that stays off your internal network.

Do you handle the network side too?

Yes. We're a networking company first. If the room needs a dedicated connection, QoS or a new switch, that's part of the job.

Can you record or stream meetings?

Yes. Training rooms and all-hands spaces can be built with recording and streaming to your platform of choice.
